Privacy Policy

This privacy policy explains how Resin Mill Europe BV (trading as "Resin Mill | Europe") collects, uses and protects personal data, in accordance with Regulation (EU) 2016/679 (GDPR) and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data. It covers this website and portal, our customers and distribution partners, and the professionals we contact about our products.

1. Data controller

2. Data we collect

  • Identification and contact data: name, company, role, address, email and phone;
  • Account data for the B2B portal: login, company registration and VAT numbers, account type and the information you give us about your business;
  • Data relating to quote requests, orders, deliveries, training and business correspondence;
  • Invoicing data: VAT number and billing details;
  • Browsing data: IP address, pages visited and cookies. See our cookie policy.

3. Business prospecting

We contact businesses active in surfacing, paving, landscaping and building materials to present our products and partnership opportunities. For this we use business contact details that we collect from public sources: company websites, public social media profiles and posts, Google Maps and other business listings, professional networks, company registers and business data providers.

The data we use is limited to the company name, business address, business email and phone, the name and role of the contact person, links to public business profiles, and a record of our contacts with you.

The legal basis is our legitimate interest in developing business relationships with professionals in our sector (Article 6(1)(f) GDPR). You can object at any time, simply by replying to our message or by writing to hello@resinmill.eu, and we will stop contacting you.

Where the law of your country requires your prior consent for commercial email, we only email you after you have given it or have contacted us yourself.

If you do not respond, we keep your record active for up to 12 months. After that we archive it, keeping only the business details needed to avoid contacting you again without a reason (company, website or profile, dates, channel and outcome of our contacts), and we delete it after 3 years at the latest. If you object, we keep only your email address or profile handle on a suppression list, so that we never contact you again.

4. Purposes and legal bases

  • Handling requests, quotes, portal registrations and orders: pre-contractual measures and performance of the contract;
  • Customer and partner relationship management, support and product safety information: legitimate interest and, for safety information, legal obligation;
  • Business prospecting as described in section 3: legitimate interest;
  • Compliance with accounting, tax and legal obligations: legal obligation;
  • Newsletters: consent, which you can withdraw at any time;
  • Improving and securing the website: legitimate interest.

5. Recipients

Your data is accessible to authorised staff and, where necessary, to service providers acting as our processors (hosting, ERP and CRM, IT, data enrichment and outreach tools, carriers and logistics partners). If you ask to be served by a Resin Mill distribution partner in your country, we pass your request to that partner. We do not sell or rent your data.

6. Retention

We keep data for as long as needed for the purposes above: for the duration of the business relationship, then for evidence and legal obligations for up to 3 years after the last contact, and for the period required by Belgian tax law for accounting documents. Prospecting data follows the periods in section 3.

7. Transfers outside the European Union

Some of our service providers may process data outside the EU or EEA, for example in the United Kingdom or the United States. Such transfers rely on an adequacy decision of the European Commission or on the EU standard contractual clauses.

8. Your rights

You have the right of access, rectification, erasure, restriction, objection and data portability, and the right to withdraw your consent at any time. You may also lodge a complaint with the Belgian Data Protection Authority (www.dataprotectionauthority.be) or with the authority of your own country.

9. Security

We apply appropriate technical and organisational measures to protect your data against unauthorised access, alteration or disclosure.
